COMPUTERIZATION OF STAFF RECORD MANAGEMENT INFORMATION SYSTEM

ABSTRACT

Computerization of Staff Record Management Information System is web based software which is of help to the entire Staff of Computer Engineering, Akwa Ibom State Polytechnic Ikot Osurua, Ikot Ekpene. In the current system, at the Department Of Computer Engineering, ac tivities are done manually. This is costly and time consuming. As a result, the management of the Department has become inefficiency and ineffectiveness .Staff has complained about the management trends currently existing. Record keeping is one of the most hard and vital tasks carryout in every organization and institution. Most of the Nigerian institutions use manual record in keeping the history (record) of their staff. This practice faces a lot of challenges ranging from human to natural disaster. To minimize the risk of data loss and security breach a new system was proposed for the Department of Computer Engineering to replace the existing one. In this paper observation, interview and questionnaire were used to obtain the required information needed to implement a new system. Lastly the paper presents a prototype developed using Php scripting language at application layer and MySQL database as backend server. The findings of the study show significant improvement in terms of efficiency and cost of resources in managing staff record. This system is highly recommended as it is capable of addressing the errors which may arise as a result of Manual activities. Manual activities are much prone to errors. In this view, the CSRMIS has been developed to deal with various activities related to the management of the Department.

INTRODUCTION

1.1 BACKGROUND OF THE STUDY

Now a day‘s education plays a great role in development of any country. Many of education institutions try to increase effectiveness and having proper record of their staff in the management of their day to day duties. One of the aspects of this improvement is managing of staff record system using electronic system (Refine,)

Computerization of Staff Record Management System (CSRMIS) is web application software which helps the institutions to engage in providing services CSRMIS has been designed and developed specifically for the Department of Computer Engineering. In short CSRMIS is a management information system that helps to manage the different processes in the Department like General Administration, Staff Management, Academics, and Accounts etc. The information is made using the latest technologies and help‘s to make decision making a lot faster, effective and easier than ever before. Also helps to improve the overall quality of education in the Department. Database technology are has been used considering that it has a major impact on the growing use of computers. The implementation of the system was done using HTML, PHP, JavaScript, Xampp and SQL Server 2012 technologies, allowing system to be run in Windows OS. In a nutshell, CSRMIS Software manages education institution by simplifying and automating processes and addressing the needs of all stakeholders helping them to be more efficient in their respective roles (Alden, 2018).

1.2 STATEMENT OF THE PROBLEM

The problem currently facing the Department Of Computer Engineering, Akwa Ibom State Polytechnic is the management of the Department. Lecturers, Secretary and Head of Department do not properly handle their workload, and sometime the services such as registration of students, allocation of courses; lecturer’s attendance is not effectively monitored. The main problem is to manage the staffs effectively and efficiently, (Chris, 2019).

1.3 OBJECTIVE OF THE STUDY

1.3.2   Objective of the Study

The objectives of the study is to develop an employee record system that will enable Akwa Ibom State Polytechnic to maintain the record details of its employee such that be easy to retrieve the needed information with few button clicks.

1.3.2   The Purpose of the Study

  2. To create a system that will aid in retrieving employee details online
  3. To design a system that will complement or replace the manual way of managing personnel information

1.4 SIGNIFICANCE OF THE STUDY

The significance of the study is that it will provide a better means of managing staff records in the Department.

The report of any employee can be called up by entering the ID number of the employee.

The Research study will also be significant to other scholars and hers seeking for valuable information about the staffs in the department

1.5 LIMITATONS OF THE STUDY

This research work covers the design and Implementation of a (CMS) content Management System for Staff and Student Record with the Department of Computer Engineering Akwa Ibom state Polytechnic as a case Study.

However, in carrying Out this tasking research work successfully, the under-listed shortcomings were encountered,

  1. Inadequate time for the research
  2. Lack of financial resources on the part of the researcher
  3. Inadequate access to research materials

1.6 ORGANISATION OF THE RESEARCH

This research work is Organized into five chapters

Chapter One: this consist of the Introduction, The Theoretical Background, The statement of the Problem, The Objectives and Purpose of the Study, Significance of the Study, limitation , Organization of the Research and Scope of the Study.

Chapter Two: This focuses on the Literature Review, the contributions of Other Scholars on the Subject matter is Discussed

Chapter Three: Is discerned with the system analysis and design, it analyses the present staff to identify the problem and provide information on the advantages and disadvantages of the proposed system. The system design is also presented in this chapter

Chapter Four: it presents the system implementation and documentation, the choice of programming language, analysis of modules and system requirement for implementation

Chapter Five: it examine the constraints of the study, summary, conclusion and recommendations

1.7 SCOPE OF THE STUDY

This Study covers the design and implementation of a Computerized Staff Record management Information System of the Department of Computer Engineering, Ikot Osurua.
